New MailChimp Integration

Many of our clients have already experienced the benefits of MailChimp, a powerful and easy-to-use email newsletter system. MailChimp can even collate news articles from your club ClubNet website and send them automatically to your members on a weekly or monthly basis!

I'm delighted to announce that using this is now even easier, as we've developed an automatic integration between MailChimp and the Membership Database system.

So now, your member data can be synchronised automatically into MailChimp - no more manual extraction of the data and manual uploading into MailChimp. Once the new feature is setup for your club, this all happens automatically in the background. This will:

  • Save administration time
    AND
  • Ensure your data is kept up to date and accurate

The add-on to automate this process costs £30 + VAT to set up and £30 + VAT per year.

Database upgraded over the weekend

The Membership Database and Database Lite were upgraded over the weekend with a range of improvements in the front end and behind the scenes, including:
  • Dynamic filters available for all reports
  • Default report settings improvements
  • Reports management improvements
  • Charting improvements
  • Favorite reports
  • Search improvements
  • Faster access to New Record command

Planned database downtime - Saturday 9 March

This Saturday from 2.30pm, the membership database will be unavailable for up to 2 hours while data is transferred to a new primary location.  This is a part of the ongoing testing and maintenance of the database infrastructure to help ensure a high performing, highly available environment for your data.

In preparation for this scheduled downtime, please notify any staff or officials who may be affected, and ensure that you have downloaded any critical data in good time before Saturday afternoon.

Our other systems (website, bookings, leagues) are not affected by the database maintenance, except that synchronisation of data with the database will not be possible while the database is unavailable.

New Features for Bookings System

A number of new features have been added to the Bookings system this week:

  • SMS Messaging for Reserve Lists for Classes - where there is a reserve list for a class and a space becomes available, a text message can now be sent to notify the reserve who is promoted to the main class list - please contact us if you would like to discuss adding this facility for your club
  • Class Bookings History button - this shows all bookings (cancelled or not) that have been made for a particular class, who made the booking and when, and who cancelled the booking and when - if you have fitness classes set up in your bookings system, please see the Class Admin page
  • Member Bookings button - this shows all bookings made and cancelled for a member from three months ago and any future bookings, again showing who booked and when, and who cancelled and when - please see the List Members page in Admin Tools

We are also considering other applications of SMS messaging, so please let us know if you have some ideas for where your club would use it (e.g. for notifications of club closure in adverse weather to be sent to all members with bookings that day, plus also maybe booking confirmations, reminders and cancellation notifications).

New User Interface for Membership Database

We are excited to announce the rollout of a new User Interface (UI) for the membership database which will make it even easier to use for entering and extracting your key data.  We will begin inviting clubs to view the new version in the next few days before the rollout is completed.

The new UI is modern, more intuitive, and a pleasure to look at visually.  It delivers a simpler, easier, and faster UI to club administrators.  The new version has also been designed to provide a consistent user experience across all your devices, and to be instantly mobile on tablets and smart phones, so you can stay productive even when you are away from your computer.

Features of the new version include:

  • Table Home Pages:  Instant searching and filtering from the new "Table Home" pages, making it faster to find what you need without having to build a report;  these pages also include Filters which enable you to show dynamically only matching records, and clicking multiple values for a single field shows all records with any of those values.  Plus there's an on-screen search box which searches dynamically as you type
  • Reports:  Finding the report you need is easier than ever as the system keeps track of the reports each user accesses most often, so they are easier to get back to. Additionally all your personal reports are grouped under “Mine” and reports everyone in your role can see are grouped under “Common”
  • Forms:  Form sections are now collapsible so that users are quickly able to find and focus on the information they needed to get the job done.  If you typically work on a few sections of a longer form, you can collapse the rest of the unwanted sections.  The system will remember which sections you collapsed and save the selection for you.  In addition, all the key actions for every page are always easily accessible at the top of your screen, even if you’ve scrolled halfway down a long form

The old functionality is all still there, or improved, but the interface does look quite different.  It will take existing users a little time to adjust, but we're sure the changes will soon be popular and make tasks quicker and easier.

Website upgrade completed

We're delighted to let all our clients know that the recent website upgrade programme was completed successfully by the end of December. 

The main changes in the new version are:

  • New media section – including the ability to upload files and images by drag-and-drop from your computer (works on modern browsers only)
  • New dashboard for the content section with improved "Latest Edits" tab and new "Disk Space Monitor"
  • New button to enable you to embed third party media such as YouTube videos easily into Rich Text sections
  • Bug fixes, including:
    • Page / section preview feature fixed
    • Date bug in News section fixed
  • A load of other improvements to the code, future proofing and security enhancements

The manual for editors has also been updated and is available now from your club's Admin page.  Check that the date on the front page of the manual is January 2013 to be sure you have the latest version.

Bookings system changes

A number of enhancements have been added to the bookings system in recent weeks, and we thought it would be helpful to summarise the main changes in one place:

  • A new financial report, showing all payments within a specified period, the date each court was purchased, and the date of the booking - this is live by default for all clubs using either the manual payments or the online payments option
  • A number of enhancements to classes, courses and lessons
  • New functionality for using swipe cards to log in at reception

Database upgrade this weekend

This Sunday, there will be an upgrade to the membership database.  Many of the changes are in the background, but the new version will support rules on forms (such as validating data) when viewed on a mobile device, mirroring how this already works on the main version.

The upgrade will take place during a maintenance window between 2.30-3.30pm on Sunday and may result in up to 30 minutes downtime while the upgrade is applied.
